OpenSide Rugby is an independent project in early access. This page explains what the site collects, why, who handles it, and what you can ask for. It covers opensiderugby.com, the homepage and the app together, and TouchLine Tagging, OpenSide's match tagging tool, at touchlinetagging.com.
What we collect from you
- Your account: creating an account and signing in are handled by Clerk, with Google (if you choose it) or a code emailed to you. Clerk keeps your account: your email address, your name and picture if you sign in with Google, and when and from which browser and device you signed in, to keep you signed in and to protect sign-up from misuse (a Cloudflare Turnstile check runs when you sign up). The app receives your email address and Clerk's id for your account. TouchLine Tagging has its own sign-in, also with Clerk and the same choices; it receives your email address and checks it against its list of testers. When you first sign in, we ask you to agree to the terms and confirm you're 18 or older, and we record when you did. While new accounts need an admin's approval, we keep a request with your email address and anything you add to it. Each time you open the app, we note your email, the time and the app version, so we know who has been in.
- TouchLine Tagging waitlist (the form on the homepage and at opensiderugby.com/waitlist): your name, email address and what you'd tag, plus anything optional you add: club, country, region, level and side. If you're added to TouchLine's testers, we keep that, with when and by whom, and a record of the welcome email we send you (when, and whether it was delivered, as the email service reports it; the email doesn't track whether you open it or click its links).
- TouchLine Tagging settings (Settings in its account menu), if you change them: your team, which tags and questions are on, your own tags and similar choices for new sessions, kept with your account so they follow you to each device. Never your tags, sessions or video.
- Using the app: which pages and features you open (a tab, a club or player panel, match details, a download, the Projector, the Feedback form), with your email, the time and the app version, to see what's useful and improve it. Not each filter you change. TouchLine Tagging records which of its features you open (sessions started and finished, files saved and the like), with your email, the time and the version, and never the tags, names or video. If you send its end-of-session feedback form, we keep your answers with a few facts about that session (such as how many tags, how long it took and which features you used), to improve TouchLine.
- Feedback (the Feedback buttons in the app): what you write, its type and the part of the app it's about, your email address, and anything optional you add, such as your name, club, the device you're on and, on the TouchLine Tagging form, how you used the tool. We also record the email you're signed in with, the page you had open and the app version.
- Your name (Account in the account menu), if you give it: your first and last name. It fills in your name on the Feedback form and club admin requests, and it's how our emails to you start.
- Your settings (Settings in the account menu): the club and teams you pick as favorites or follow, and the side, divisions and regions you want Season Stats, Match Logs and the home page to show, and which release announcement you've closed, kept with your email address.
- Player profile requests (Player profile in the account menu): the player page you say is yours, anything you add to help us check, and whether we verified it. Only you and the admins see a request. A verified link is used to show your player page on your home page.
- Profile photos (Player profile, once your player page is verified): the photo you send, who sent it, when, and our decision with its reason. Before keeping a photo we crop and resize it and remove its metadata, including the location phones attach. An admin checks it first; only you and the admins see it while it waits. An approved photo shows on your player page and anywhere the app shows player photos, to everyone signed in. A rejected, withdrawn or replaced photo is deleted when that happens, and you can take an approved one down yourself at any time. If an account sends inappropriate photos, we keep a note that it can't send more.
- Changes to your player page (Player profile): the name, nickname or other change you ask for, kept with your feedback so we can check it and make it.
- Club admin requests (Club admin in the account menu): your name, the club, what you do for it, anything you add to help us confirm it, whether you want club-admin announcement emails, and our decision with its reason. To confirm a request we may contact your club through its official accounts or email. We email you the decision at the address you're signed in with. Approved club admins who choose to get announcements are on a mailing list used only for OpenSide news for club admins.
- How to Get Involved notes: your name, email address and the options you tick, plus anything optional you add: a club or organization, and a note.
We don't use advertising or third-party analytics trackers, and we don't sell or rent anyone's information.
How we use it
- To run your account, decide on and set up access, and reply to you.
- To fix problems and improve OpenSide Rugby.
- Each submission is also sent to us as an email alert, so it's read promptly.
- To email you our decision on a player profile request, a profile photo or a club admin request, and, if you asked for them, club-admin announcements.
Services that handle it
These companies process data for us to run the site, in the United States:
- Clerk: accounts and sign-in for OpenSide Rugby and for TouchLine Tagging (a separate sign-in for each).
- Cloudflare: the domains, the network in front of the sites, TouchLine Tagging's hosting, and the check that runs when you create an account.
- Google: Sign in with Google, if you use it, and the site's fonts, which your browser loads from Google.
- Render: runs the site.
- Neon: the database that holds submissions and the match data.
- Resend: sends the email alerts and the decision and announcement emails.
Each keeps its own technical records, such as request logs with IP addresses, under its own privacy policy.
Cookies and your browser
Clerk sets cookies that keep you signed in (on opensiderugby.com and on clerk.opensiderugby.com, its sign-in service for this site). The app sets one that counts a visit (it lasts 30 minutes) and, for a few seconds, one while it renews your sign-in. TouchLine Tagging's sign-in (Clerk) sets its own cookies, on touchlinetagging.com and clerk.touchlinetagging.com, the same way. TouchLine Tagging keeps your sessions, and the match video you choose, on your own device (in the browser's storage, or read from the file where it is). Nothing you tag and no video is sent to us, only the records and feedback described above; you can save a session as a file or clear it with New session. The app also keeps a few things in your browser for you: display choices (hidden filters, folded sections) the last few player, team and club pages you opened (with their photo or logo), which the home page lists, whether you've closed the announcement of the latest release, whether you've set aside the home page's "Make this page yours" card, and, on a phone, how many times you've opened the site and your answer to the tip for adding it to your home screen. They stay in that browser and aren't sent to us.
Public pages and search engines
Club, team and player pages show a preview to everyone, signed in or not (for a club, the club's name, logo, region, website and social media, its teams season by season, results and upcoming matches, and its teams' current rosters; for a team, the team's name, logo, side, division, region, website and social media, record, results and upcoming matches, and its current roster, with players' names and positions; for a player, the player's name, current club and team, and the clubs and teams they've played for and their position, season by season, from team sheets), and the search box finds them. Search engines such as Google can list the homepage, About Us, How to Get Involved, Contact Us, this notice and the terms, and the club, team and player previews. The Clubs directory and Players A-Z list those pages. To have your player page kept out of search engines, email [email protected], or, once your player page is linked to your account, use Player profile in your account; it's then also left off the public rosters and Players A-Z. Player profile is also where you can ask to have your name removed from OpenSide (you then show as Name Withheld everywhere). Stats, match details and everything else need an account, and search engines aren't shown them.
Player data in the app
The app shows player names, clubs and match details (appearances, minutes on the pitch, scoring, substitutions and cards) taken from match records published through Rugby Xplorer, with hand corrections where a record is incomplete. For upcoming matches it also shows the team sheets clubs have entered in Rugby Xplorer before kickoff. A name Rugby Xplorer withholds is shown as Name Withheld.
How long we keep it
Submissions, settings, your name, player profile and club admin requests, approved photos and the record of decisions on photos, sign-in records and records of what you open are kept while OpenSide Rugby runs and your account is open, so they can be followed up. You can ask for yours to be deleted at any time.
Your choices
To ask what's stored about you from the forms, settings and sign-in above, or to have it corrected or deleted, email [email protected]. You can also write to us at:
5831 Forward AveUnit #991
Pittsburgh, PA 15217
Deleting your account also ends your access. You can change or clear your settings yourself at any time, and withdraw a player profile request, remove a verified link, or withdraw or take down a photo on the Player profile page, change or clear your name on the Account page, and withdraw a club admin request, step down or stop the announcement emails on the Club admin page.
Age
Accounts are for people 18 or older, which you confirm when you first sign in. The match data covers adult club competitions.
Changes
This notice will change as OpenSide Rugby grows. The date at the top shows the latest version.
